Position Purpose:
The bookkeeper will organize and coordinate the company's financial data.
Their duties include entering vendor bills for payment, generating vendor payments, creating customer invoices, checking accounting records for accuracy, generating reports, and maintaining a system for organizing company financial documents.
Responsible for efficient operation of the day-to-day activities of the Company Payroll.
Ensure all payroll processing is completed in a timely, accurate and efficient manner, including timekeeping system pay file processing, payments to employees, distribution of pay to external agencies, responses to department or agency inquiries, and all other transaction processing.
Must consistently be able to work 8am - 4pm, M-F.
The primary objectives of the position are to:
1) record, track, and manage the company's day to day financial data 2) posting information to accounting journals or accounting software from such source documents as invoices to customers, cash receipts, and vendor bills 3) verifying that transactions are recorded in the correct accounts and ledgers 4) generate reports from the financial information for the company management Primary
Responsibilities:
Purchase supplies and equipment as authorized by management Point person for customer invoicing and vendor bills Collect and verify accuracy of vendor bills/supplier invoices when received Coordinate vendor bills/supplier invoices with company staff for proper project cost tracking Enter vendor bills/supplier invoices into the accounting software for cost tracking and payment Pay supplier invoices/vendor bills in a timely manner Responsible for the successful processing of the semi-monthly and payrolls including internal reporting, additional compensation payments, overpayments and adjustments, involuntary deductions and disbursements, benefit deductions, PTO/vacations, taxable benefit inclusions, tax payments and employee disbursements.
Take all reasonable discounts on supplier invoices/ vendor bills Tag and monitor fixed assets Pay any debt as it comes due for payment Monitor debt levels and compliance with debt covenants Issue invoices to customers Collect sales taxes from customers and remit them to the government Ensure that receivables are collected promptly Record cash receipts and make bank deposits Collect credit card receipts and reconcile credit card accounts Conduct a monthly reconciliation of every bank account Conduct periodic reconciliations of all accounts to ensure their accuracy Generate monthly financial reports and deliver to management Provide information to the external accountant who creates the company's financial statements Assemble information for external auditors for the annual audit Maintain an orderly accounting filing system Maintain the chart of accounts Maintain the annual budget Calculate variances from the budget and report significant issues to management Comply with local, state, and federal government reporting requirements Provide clerical and administrative support (as it pertains to company financial data) to management when requested Follow accounting policies and procedures Requirements:
Proven bookkeeping experience Solid understanding of basic bookkeeping and accounting payable/receivable principles Proven ability to calculate, post and manage accounting figures and financial records Data entry skills along with a knack for numbers Hands-on experience with spreadsheets and proprietary software Customer service orientation and negotiation skills Proficiency in English and in MS Office software Proficiency in QuickBooks High degree of accuracy and attention to detail BS degree in Finance, Accounting or Business Administration Bookkeeper key skills & proficiencies:
